What belongs in the closeout package?

Polished concrete closeout should leave the owner with a clear record of the installed floor, how to care for it and which warranty terms apply.

At Craftsman Concrete, we review the completed finish with the project team and provide the inspection and testing records included in our scope. We coordinate closeout requirements during planning so product information, maintenance guidance and approval records are ready when the owner takes over the floor.

The project specification and agreed scope establish the required documents. A useful package brings the following information together:

RecordWhat it should identify
Installed productsThe densifier, color treatment, stain guard, joint filler and repair materials used, as applicable
Product instructionsRelevant technical data, application information and manufacturer recommendations
Maintenance guidanceCleaning methods, products, equipment and frequency suited to the installed system
Treatment renewalInstructions for refreshing or reapplying protective treatments
Repair informationApplicable products and procedures for joints, cracks and surface repairs
Approval recordsThe approved sample, agreed finish criteria and documented decisions
Test and inspection recordsResults required by the project, including where and when measurements were taken
Warranty documentsThe issued terms, covered performance, maintenance conditions and claims contact

Our polished concrete quality guide explains the approval and testing process behind these records.

Hand the floor over to the owner

Maintenance should follow the installed system’s instructions and suit how the floor is used. The issued warranty and its maintenance conditions belong with the closeout records. The final review record should identify accepted work, outstanding items and who is responsible for each, including floor protection and cleaning as responsibility passes to the owner.

Match maintenance to the installed floor and its use

“Polished concrete” does not identify every product on the surface. Craftsman coordinates the applicable product information so the owner’s maintenance team can identify suitable cleaners and equipment, methods to avoid, spill-response guidance and treatment-renewal requirements.

Maintenance frequency depends on traffic, exposure and the appearance the owner wants to retain. Prompt spill cleanup and regular dirt removal are important: dirt can abrade and dull the surface, while prolonged spills increase the opportunity for staining or other damage. Adjust cleaning frequency as use and floor condition change.

Follow the instructions for the installed system rather than combining directions from unrelated products. Our guide to cleaning products, pads and brushes covers those choices in more detail.

Include the warranty and its maintenance requirements

Keep the issued warranty and its maintenance conditions with the closeout records. Duration alone does not establish coverage; our polished concrete warranty guide explains the distinction between covered performance and broader service-life claims.

Record the final review clearly

Craftsman reviews the completed floor against the agreed finish criteria and the approved sample. Required test results support that review, but a test report and formal acceptance are different records.

Keep the accepted work, any outstanding observations and agreed follow-up actions clearly identified. Record who is responsible for each remaining item and how its completion will be confirmed.

The closeout records should also make clear who maintains floor protection and performs ongoing cleaning as responsibility passes to the owner or other project parties.

Frequently Asked Questions

We provide the inspection and testing records included in our scope and coordinate the required product, maintenance and warranty information. The project specification and agreed scope establish the complete closeout package.

No. Cleaning products and equipment need to suit the installed treatment. Follow the applicable manufacturer instructions, including dilution, pad or brush selection and prohibited methods.

Not necessarily. Warranty coverage depends on the issued terms. Coverage for hardening, dustproofing or water resistance should not be assumed to include retained gloss or appearance.

Not by itself. A test report records measured results. Acceptance follows the project’s specified review and approval process.
